Appendix G - Entity Details and Utilisation Attributes |

The actual fields listed on the Assets - [Entity Name] Utilisation Attributes screen for any
particular Entity, vary according to the choices made for that Entity from the respective drop
drown lists for both Class and Purpose. Furthermore, all fields marked with the double
asterisk - ie [Attribute Name]**, must be completed if benchmark figures are to be calculated.
Should any of these fields be left blank, then no benchmarks can be provided. Those marked
with a single asterisk - ie [Attribute Name]*, are fields for which an entry is desirable for better
accuracy but not essential. Unmarked headings are either seeking general background
information, or data which may be required for some envisaged future reports.
Entity Details
Name
Name of Entity.
Description
Any additional notes you want to record for this Entity.
Class
Note: The Class can only be set when a new Entity is created and so what is displayed here
merely reports the result - despite the apparent drop-down option inviting amendment. The
choice of Class in turn defines what types of Purpose are applicable for this Entity. For a
building entered as a single Entity, the Departmental/Tenanted Areas will likely be the most
likely choice. (See Appendix M for more details of the Class options and definitions.)
Purpose
Note: The Purpose can only be set when a new Entity is created and so what is displayed
here merely reports the result - despite the apparent drop-down option inviting amendment. It
comprises the predominant usage/activity which is chosen for each Entity after first selecting
the appropriate Class. (See Appendix J for more details of the Purpose options and
definitions.) The Purpose of an Entity is the key definition to enable benchmarking against
all other like Entities in the whole database.
Open Date
Date this Entity was opened for current Purpose.
Close Date
Date Entity changed Purpose or closed. Note: Should you proceed with this, even if you then
choose the Replace Entity with another box, all Entity and Attributes data will have to be reentered
so it is important not to close an Entity if it is to continue to operate, but with only
some modified Attributes or Utilisation levels. Such situations are best handled by starting a
new Record of either Utilisation or Construction Attributes which then rolls over the existing
data that can then be further modified as required. A later modification may provide for some
roll over of data for a new Entity.
Indicator Data
The actual fields that appear under the Indicator Data heading will vary according to the
Purpose of the Entity. All possible fields are therefore listed below in alphabetical order.
Attendance Hours**
Number of person hours calculated as the average attendance multiplied by the hours of
session time for each week.
Beds**
The number of beds within the Entity
Bench Space**
Total laboratory bench space within this Entity (square metres)
Books (1000)**
Number of books stored within this Entity (in thousands).
Car Parks**
Number of car park spaces in this Entity.
Computers**
Total number of computers (PCs, Servers, Laptops, Mainframes etc) operating in this Entity.
Floor Area**
Total floor area of this Entity (square metres).
Fluid Pumped**
Amount of fluid pumped per week (cubic metres).
Fluid Treated**
Amount of fluid treated per week (cubic metres).
F.T.E. Staff Members**
Number of full time equivalent staff working in this Entity.
Heated Volume**
Total volume of enclosed space heated by this Entity (cubic metres)
Laundry Kilograms**
Amount of laundry washed per week (kilograms dry weight)
Lit Area**
The total area under lighting in this Entity (square metres)
Luminaires**
Total number of luminaires within this Entity
Occupants**
Number of occupants normally living within this Entity
Occupied Bed Days**
Total occupied bed days per week in this Entity.
Operating Hours**
The total number of theatre usage hours each week. (ie the weekly sum of the usage hours
for each operating theatre)
Road Length**
Total length of roads under lighting (kilometres)
Seats**
Number of seats in this Entity.
Surface Area**
Total water surface area of the pool (square metres).
Visitors**
Average number of visitors per week to this Entity.
Volume**
Total volume of this Entity, excluding void spaces such as ceiling spaces, wall spaces, and
attics (cubic metres).
Utilisation Details
The actual fields that appear under the Utilisation Details heading will vary according to the
Purpose of the Entity. All possible fields are therefore listed below in alphabetical order.
Aircon Volume*
Air conditioned volume enclosed by this Entity, if any (cubic metres).
Low Humidity*
Lowest humidity at which this Entity is operated (percentage).
High Humidity*
Highest Humidity at which this Entity is operated (percentage).
Low Temperature**
Lowest Temperature at which this Entity is operated (degrees celsius).
High Temperature**
Highest Temperature at which this Entity is operated (degress celsius).
Air Changes*
Changes per hour during core hours due to HVAC systems.
Air Infiltration*
Air Changes per hour during core hours due to designed air infiltration (e.g. ventilation, open
windows etc).
Core Hours**
The number of hours per week for which the core function operates.
Core Occupants**
The average number of occupants during the core hours.
Core Energy intensity*
The energy intensity of functional equipment operating in this entity during core hours (watts
per square metre).
non-Core Hours
The number of hours per week that the entity is occupied for non-core functions (eg cleaning
crews, skeleton operating staff etc).
non-Core Occupants
The average number of occupants during non-core hours.
non-Core Energy intensity
The energy intensity of functional equipment operating in this entity during non-core hours
(e.g. cleaning equipment, Computers that need to be operational overnight etc) (watts per
square metre).
Air-Conditioning Controls
Choose from the dropdown list the control system that regulates air conditioning.
Heating Controls
Choose from the dropdown list the control system that regulates heating.
Lighting Controls
Choose from the dropdown list the control system that regulates lighting.
BMS/BAS
Tick the box if there is a computerised Building Management System (BMS) or Building
Automation System (BAS) operating in this Entity.
Record Start**
Date this Utilization Record came into effect.
Record End
Date when this Record is to be finished with the intention of superseding it with a new one
because of a significant change in some Indicator Data or Utilisation Attributes. When details
of any new Record are saved, setting its Start Date automatically determines the Record End
date for the old one as being the previous day. (The new Record is created by first clicking
the End this Utilisation Record link at the bottom right of the Utilisation Attributes box, making
any necessary changes to the Indicator Data or Utilisation Attributes and then clicking Save
Changes.)
