Utilisation Attributes and Indicator Data |

Begin New Utilisation Attribute Record
Point to the Quick Tab Asset Details link and in the drop-down menu click the Facilities List
link. Click the Show Entities link and then the [Entity Name] under the appropriate Facility.
On the Entity and Utilisation Details page, it is assumed that the Entity Details are already
complete and if there was no Indicator Data or Utilisation Attributes already entered for this
Entity, an otherwise blank page for these remaining two boxes will be presented. You are
reminded that the Utilisation Attribute Record comprises the content of both of these boxes.
(If this is not the Entity??s first Record, then the most recent will be presented and you should
review whether you want to just edit the Record or actually end and replace it. Then proceed
by following the appropriate instructions under one of the two immediately following
headings.)
Complete what you wish to enter in the subsequent blank information fields in both the
Indicator Data and Utilisation Attributes boxes, using the Ghost-Over advice on each heading
or referring to Appendix G as required, and then click either of the two Save Changes buttons
that are external to the boxes but not the one inside the Entity Details box. (For your
convenience, to avoid scrolling away from where you are working, either of these two external
buttons will save the entries in both the Indicator Data and Utilisation Attributes boxes and not
just those in the adjacent box.)
The Record Start has a default setting of the current date but can and should be changed to
cover either when the Entity was first used as such or at least the earliest time for which you
expect to have entered Consumption data. When completing such a blank Record, there is a
message beside the Record End heading stating that the record is not yet open. That
message will remain, even after clicking a Save Changes button. However, on coming back
after departing from that screen, the message will have been replaced by the End
Construction Record button which signifies it is the current existing Record.
Edit Entity Utilisation Attribute Record
Note: Editing a record in this way enables you to complete or correct existing information in
the current Record without changing its Start Date. (If a new Start Date is required, then use
the process for adding a new Record described immediately above.)
Point to the Quick Tab Asset Details link and in the drop-down menu click the Facilities List
link. Click the Show Entities link and then the [Entity Name] under the appropriate Facility.
The most recent Record will be presented. Amend the information fields in the Indicator Data
or Utilisation Attributes boxes as required and click either of the two Save Changes buttons
that are external to the boxes but not the one inside the Entity Details box. (For your
convenience, to avoid scrolling away from where you are working, either of these two external
buttons will save the entries in both the Indicator Data and Utilisation Attributes boxes and not
just those in the adjacent box.) On clicking the Save Changes button, a dialogue box will
appear seeking confirmation that your intention is to edit rather than to end and replace the
Record.
End and Replace Entity Utilisation Attribute Record
Note: Refer to the initial Note under the heading immediately above to check against the
distinction between your intentions and editing. If necessary also see the comments under
Record End in Appendix G.
Point to the Quick Tab Asset Details link and in the drop-down menu click the Facilities List
link. Click the Show Entities link and then the [Entity Name] under the appropriate Facility.
Click the End this Utilisation Record button at the bottom of the Utilisation Attributes box and
a three point dialogue box will appear advising you firstly, that if this move is a mistake you
should proceed to the next page but then exit without saving anything, secondly, that all of the
old Attribute details in the Record to be ended have been rolled over as a starting point for the
new one, and thirdly, that setting and then saving a new Record Start date will automatically
set the Record End date for the old one.
On clicking OK in the dialogue box, a new Entity Details and Utilisation Attributes page will
appear with the old data in it so that you can amend the information fields as required and
click either of the two Save Changes buttons that are external to the boxes but not the one
inside the Entity Details box. (For your convenience, to avoid scrolling away from where you
are working, either of these two external buttons will save the entries in both the Indicator
Data and Utilisation Attributes boxes and not just those in the adjacent box.) Because the
Record Start date default setting is the same as for the old Record, there is a reminder
message beside the Record End heading to set the required start date because it also
determines the Record End for the old one. That reminder message will remain, even after
clicking a Save Changes button. However, on coming back after departing from that screen,
the message will have been replaced by the End this Utilisation Record button which signifies
it is the current existing Record.
Finally, it is important to remember that if you have made Indicator Data changes under such
headings as Volume or Floor Area, it probably means that you are redefining the areas to be
included in this Entity. This could well require corresponding changes to be made in the
Construction Attributes and possibly in both Attributes sets of one or more other Entities in the
same Facility.
View Entity Utilisation Attributes
Point to the Quick Tab Asset Details link and in the drop-down menu click the Facilities List
link. Click the Show Entities link and then the [Entity Name] under the appropriate Facility.
View Utilisation Attributes - Historical Records
Point to the Quick Tab Asset Details link and in the drop-down menu click the Facilities List
link. Click the Show Entities link and then the [Entity Name] under the appropriate Facility. In
the Useful Shortcuts box under the Utilisation heading you can scroll backwards and forwards
in time between different utilisation Records for that Entity.
