Entities |

Add New Entity
Point to the Quick Tab Asset Details link in the dropdown menu, click the Facilities List link
and then click the [Facility Name] link for the required Facility. On clicking the Useful
Shortcuts Entities link, you will either reach an existing Entity Details page or you will be
advised that there are no currently defined entities. (If there is an existing Entity you can only
add another by first closing the existing one and you should follow the relevant instructions
under the Close and Replace Entity heading immediately below.) Otherwise, click the link
entitled: Click here to add entities to this facility.
Proceed to enter the Class, Purpose and Name for each Entity required for the Facility, being
guided where necessary by the definitions given in Appendix M and using the [Add another
Entity] button to add more than one. Click the Finish button. Observe that the screen note
just above the box advises you to choose the Don??t Add option for Purpose if you have
mistakenly started an Entity you do not want. Conversely, you must be sure to choose
another option for any Entity you want to keep.
Close and Replace Entity
Note: Be sure that you actually want to close the Entity instead of just one of its Records for
Utilisation Attributes or Construction Attributes. (Entity closure will cause loss of Records -
see Close Date with respect to Entity Details in Appendix G for more details on this
distinction.)
If the Entity is in fact to be closed, point to the Quick Tab Asset Details link, in the drop-down
menu click the Facilities List link, and then select the Show Entities link. Under the [Facility
Name] which contains the required Entity, click the [Entity Name] link and then click the Close
Entity button beside the Close Date heading. Choose and enter the required Close Date and,
if you wish to create a replacement Entity or Entities, also tick the Replace Entity with
another? box before clicking the Close Entity button. This will then close the existing Entity at
the date chosen and, if requested, give you the option to create a new Entity or Entities to
continue from that date. For new Entity creation, follow the instructions in the second
paragraph under the Add New Entity heading immediately above, otherwise, be sure to click
the Close Entity button to complete the closure.
Edit Entity Details
Point to the Quick Tab Asset Details link, in the drop-down menu click the Facilities List link,
and then select the Show Entities link. Under the [Facility Name] which contains the required
Entity, click the [Entity Name] link and in the Entity Details box make the desired changes
before clicking the Save Changes button. Please note that Class and Purpose are set at the
time of defining the Entity and hence cannot be changed in this way. This can only be done
by closing the Entity (see immediately above).
View Entity Attributes
Point to the Quick Tab Asset Details link, in the drop-down menu click the Facilities List link,
and then select the Show Entities link. Under the [Facility Name] which contains the required
Entity, click the [Entity Name] link to view the Indicator Data or Utilisation Attributes. For the
Construction Attributes, click the Useful Shortcuts Construction link.
View Entity Details
Point to the Quick Tab Asset Details link, in the drop-down menu click the Facilities List link,
and then select the Show Entities link. Under the [Facility Name] which contains the required
Entity, click the [Entity Name] link and view the Entity Details box.
View Entity List - All of Organisation
Point to the Quick Tab Asset Details link and in the drop-down menu click the Facilities List
link and then select the Show Entities link. All Entities and their Purposes will be listed under
their respective Facilities. Search can also be used to refine the list further as required.
View Entity List - One Site Only
Point to the Quick Tab Asset Details link and in the drop-down menu click the Sites List link
(not the Facilities List link). Then select the [Site Name] link for the required Site and then
select the Show Entities link. All Entities and their Purposes will be listed under their
respective Facilities. Search can also be used to refine the list further as required.
